Getting Started

How does the Prospora custom CRM model work?

Unlike SaaS platforms that charge monthly fees, Prospora builds you a fully custom CRM that you own outright. You choose the modules you need, pay a one-time fee per module, and we build and deploy your CRM on your own infrastructure. No recurring license fees -- you own the code and data forever.

What business types can use Prospora?

Prospora is built for service-based businesses including contractors, electricians, plumbers, HVAC technicians, painters, landscapers, cleaners, and any trade or service-based business that needs to manage customers, create estimates, send invoices, and manage operations.

How long does it take to get my CRM?

After you select your modules and complete payment, we typically deliver your fully custom CRM within 2-4 weeks. This includes building, testing, branding with your logo and colors, and deploying to your infrastructure. Training is included.

What modules are available?

We offer 12 core modules: CRM & Pipeline Management, Estimates & Proposals, Invoicing & Payments, Product/Service Catalog, Calendar & Scheduling, Customer Portal, Team Management, Payroll & Time Tracking, Fleet/Asset Management, AI Assistant, Tax Management, and Reporting & Analytics. Each can be purchased individually.

How much do modules cost?

Individual modules range from $8,000 to $15,000 depending on complexity. We also offer a Full Platform Package at a significant discount. Custom development for unique features is available at $200/hour. Visit our Pricing page for complete details.

Can I add more modules later?

Absolutely. You can start with the modules you need now and add more anytime. Each additional module is integrated seamlessly into your existing CRM. There's no penalty for adding modules over time.

Is there a discount for buying multiple modules?

Yes! The more modules you bundle, the more you save. Our Full Platform Package (all 12 modules) is priced significantly below the sum of individual modules. Contact us for custom bundle pricing.

Ownership & Data

Do I really own the code?

Yes, 100%. Once your CRM is built and delivered, you own the complete source code, database, and all assets. You can host it wherever you want, modify it, and you never have to pay us again unless you want additional development or support.

Where is my data stored?

Your data is stored on your own infrastructure -- not on shared servers with other companies. We deploy to your choice of cloud provider (AWS, Vercel, DigitalOcean, etc.) or your own servers. You have full control over your data at all times.

Can I modify the CRM myself?

Yes. You receive the full source code, and if you have a development team, they can modify and extend the CRM however you want. We also offer ongoing custom development services if you need our team to make changes.

What about backups?

Your CRM is deployed with automated database backups configured. Since you own the infrastructure, you control the backup frequency and retention. We set up daily automated backups as part of the standard deployment.

How do notes and tags work?

Each customer and lead has a notes section with timestamped entries displayed in a timeline feed. Tags let you organize contacts by category, industry, status, or any criteria you choose. Tags are color-coded and searchable across your entire database.

How does the calendar and scheduling module work?

Set your availability, create branded scheduling links, and let customers book appointments directly. Appointments appear on your dashboard calendar. You can send booking links via email and manage all appointments in one place.

Can I create estimates and convert them to invoices?

Yes! Create professional estimates with line items from your product catalog, add taxes, and send PDF estimates to clients. When approved, convert any estimate to an invoice with one click -- all details transfer automatically.

Does the CRM support team management and payroll?

The Team Management module lets you invite members, assign roles, and collaborate on leads and customers. The Payroll module adds time tracking, hourly/salary rate management, approval workflows, and exportable payroll reports.

Deployment & Support

What's included in the deployment?

Every CRM build includes: white-label branding with your logo and colors, deployment to your infrastructure, SSL certificate setup, automated database backups, email configuration, and a training session for your team. Everything you need to go live.

Do you offer ongoing support?

We offer optional support packages starting at $500/month for ongoing maintenance, updates, and priority support. However, since you own the code, you're never locked in -- you can use your own developers or any third-party team for support.

What if I need custom features not in the standard modules?

We offer custom development at $200/hour for unique features, integrations, or modifications. Common requests include QuickBooks integration, custom reporting, industry-specific workflows, and third-party API connections.

Can I integrate with my existing tools?

Yes. Custom integrations with tools like QuickBooks, Google Calendar, Stripe, Mailchimp, and others can be built as part of your custom development. Contact us to discuss your integration needs.

Security & Compliance

Is the CRM secure?

Absolutely. Your CRM is built with enterprise-grade security: encrypted data in transit (HTTPS) and at rest, password hashing with bcrypt, secure session management, parameterized queries to prevent SQL injection, and role-based access controls.

Can I meet compliance requirements with my own CRM?

Since you control the infrastructure and data, you can configure your CRM to meet any compliance requirements (HIPAA, GDPR, SOC 2, etc.). This is a major advantage over SaaS platforms where you have no control over where your data lives.

What happens if I need to migrate away?

Since you own everything, there's no migration needed. You already have the code and data. You can move it to any server, modify it, or rebuild it -- there's zero vendor lock-in.
